It covers this website only. If you take part in one of our programmes, such as Pre-School or Disability Clubs, we'll give you separate information about how we look after your details there.

What we collect and why
When you get in touch
If you email us, call us or use a form on this website, we'll collect your name, contact details and anything you choose to tell us. We use this to reply and help with your enquiry, whether that's about venue hire at The Duncairn, becoming a tenant or partner, or something else.
When you make a donation
To process your donation, we collect your name, email address, postal address and the amount you give. If you choose to add Gift Aid, we also keep a record of your declaration so we can claim it from HMRC.
Card payments are handled securely by Stripe. We never see or store your full card details.
We keep a record of your donation in our supporter database so we can thank you, send a receipt, claim Gift Aid and keep accurate financial records.
When you sign up to our newsletter
If you'd like to hear from us, we'll use your name and email address to send occasional updates about our work, events at The Duncairn and ways to get involved. We'll only email you if you've said yes, and every email includes a link to unsubscribe.
When you apply to work or volunteer with us
If you fill out our work with us form, we'll collect your name, contact details and the information you share about yourself. We use this to consider you for the role and keep in touch about it. We'll only keep it for as long as we need to for that purpose.
When you browse the site
We use Google Analytics to understand how people use this website, such as which pages are visited and how people find us. This helps us make the site easier to use. Google Analytics uses cookies, and we only turn them on if you agree. You can read more in the cookies section below.
Our reasons for using your information
Data protection law says we need a lawful reason to use your information. Ours are:
Consent, for our newsletter and analytics cookies. You can change your mind at any time.
Contract, when you book or hire space with us and we need your details to arrange it, or when you apply to work with us and we need to consider your application.
Legal obligation, for keeping donation and Gift Aid records that HMRC requires.
Legitimate interests, for replying to enquiries, keeping accurate supporter records and keeping the website secure. We only rely on this where it's fair to you and doesn't override your rights.
Who we share it with
We never sell your information. We only share it with trusted services that help us run this website and our work, and only what they need:
Framer, which hosts this website
Stripe, which processes card payments
Beacon, our supporter database
Mailchimp, which sends our newsletter
Google, for website analytics
HMRC, when we claim Gift Aid on your donation
We may also share information if the law requires us to.
Some of these services store information outside the UK. Where they do, they use recognised safeguards, such as UK-approved contract terms, so your information is protected to the same standard.
How long we keep it
We keep your information only for as long as we need it:
Enquiries: up to two years after we last heard from you
Work with us applications: up to 1 year after the role is filled, unless you join us
Donation and Gift Aid records: six years after the end of the financial year the donation was made, as HMRC requires
Newsletter details: until you unsubscribe
Website analytics: 14 months
Keeping it safe
This website uses SSL encryption, so information you send us is protected in transit. Inside 174 Trust, only the people who need your information to do their job can access it.
Your rights
You have the right to:
ask for a copy of the information we hold about you
ask us to correct anything that's wrong or out of date
ask us to delete your information
ask us to limit or stop how we use it
ask for your information in a format you can take elsewhere
withdraw your consent at any time
To do any of these, get in touch using the details above. There's no charge, and we'll reply within one month.
If you're unhappy with how we've handled your information, please talk to us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
